Applicant FAQ

Whom should I contact with questions about completing the initial examination application and/or the documentation required?
Review the ICRM website at http://www.icrm.org and the ICRM Applying for the Examination page at Applying for the Exams. If you still have questions, contact the ICRM Administrator at admin@icrm.org The Administrator can assist you in completing your application online as needed.

What are the requirements to apply for Candidacy?
A: In short, a minimum of one year of professional RIM work experience is required, regardless of the level of education you possess. The following list provides the mix of experience required: Bachelor degree (Graduate degree implies completion of Bachelor degree) PLUS one year professional level RIM experience OR
  • 3 years college PLUS two years professional level RIM experience OR
  • 2 years college PLUS three years professional level RIM experience OR
  • 1 year college PLUS four years professional level RIM experience OR
  • High School Diploma or GED PLUS five years professional level RIM experience
  • What educational documentation is required with my application?
    Academic degrees may be documented by either official transcripts or with a picture or photocopy of the diploma. Partial education (credit hours short of a degree) must be documented by official transcripts.

    What professional work experience documentation is required with my application?
    The ICRM requires external, written verification signed by the employer of claimed experience containing sufficient detail to determine if the work meets the standards described above. Verification must include dates the applicant held the job responsibilities described. “Employer” can include a supervisor, manager, company owner or director, or someone from the Human Resources office.

    Are there different requirements for either a Certified Records Analyst (CRA) or a Certified Records Manager (CRM) Applicant?
    No, the requirements to apply for the CRA and CRM are the same.

    What is the benefit of becoming a CRA first and not simply striving to attain the CRM only?

    The CRA only requires that a Candidate passes Parts 2-4 of the examinations within the five year candidate cycle, where the CRM requires that a Candidate passes Parts 1-5 first, then passes Part 6 (case studies) within the five year candidate cycle to attain certification. However, once a Candidate attains the CRA and becomes a member of the Institute, the CRA will have an unlimited timeframe (at your own pace) to pursue passing Parts 1, 5, and ultimately 6 to attain the CRM. This is due to the fact that the CRA is actively pursuing Certification Maintenance Points; furthering their individual development.

    Can an individual hold both the CRA and CRM Certifications?
    No, once the CRM is attained, it holds precedence over the CRA. Thus, if a CRA continues to pursue the remaining exams for CRM and passes Parts 1, 5, and 6, the CRA then becomes a CRM and is no longer to use the CRA certification.

    After submitting my application and paying the application fee, when should I expect to hear from the ICRM regarding acceptance of my application?

    Your application is forwarded to the ICRM for review and evaluation once the required documentation is included with your application and the application fee is paid. Based on the current application process and completeness of your submission, applicants typically learn the results of their review in less than a week.

    Entering Pre-Approved Activities

    Why do I have to enter my E-mail Address?
    This application handles many requests from different participants. You are asked to enter your e-mail address as a form of confirmation. Once you have entered your Pre-Approved activity, a confirmation email will be sent to you to verify that you would like to enter the activity. You will click to validate the request. It will then put the request in a holding pattern until it is approved.

    I entered my Pre-Approved Activity and clicked on the link, but it isn’t showing up in the request, why?
    After you have entered a Pre-Approved activity, an e-mail will be sent to you to validate your identity. It will contain a link for you to click on to confirm that you would like to submit this request.

    How are CMP points awarded?
    CRAs and CRMs must maintain 100 contact hours over a five-year period. A “contact” hour is defined as a clock hour of active involvement in a qualifying educational activity. One hour of credit will be awarded for each contact hour of educational activity. No credit will be awarded for any educational activity of less than 45 minutes. Lunch, coffee breaks, business meetings, vendor exhibit viewing, social activities, and award presentations do not qualify in calculating “contact” hours.

    Why can’t ARMA regular chapter meetings be pre-approved?
    The ICRM doesn’t have the capacity to pre-approve 100+ monthly chapter meetings. CRAs and CRMs who attend a local meeting with qualifying content can still apply for CMP credit through the Credit Requests under View Personal Details section of the website.

    Can online videos such as items posted on YouTube be pre-approved?

    In order to be approved, there must be a mechanism for providing documentation of attendance. If there is a fee, a registration process, or a certificate of completion/attendance that can be created, videos that are at least 45 minutes in length could qualify. General online videos that do not meet these criteria do not qualify for pre-certification.

    What if I’m not sure if my event qualifies for pre-approval?

    Can I post the pre-approval code online?

    No, the ICRM does not permit the posting of the pre-approval code. This should be given to attendees upon completion of the event along with a Certificate of Completion/ Certificate of Attendance.

    What should the Certificate of Completion/Attendance look like?
    While the ICRM does not have a required format, click here for a sample certificate.

    I’m a CRA or CRM who will be giving a presentation in the future. Can I pre-apply for my CMP credits?
    No. Once you have given the presentation, please apply for credit in the Credit Request section under View Personal Details section of the website.

    Membership FAQs

    Who can join or become a member of the ICRM?
    The Institute shall be composed of individuals who have been designated as a Certified Records Analyst (CRA) or a Certified Records Manager (CRM) as authorized by the Board of Regents.

    What is the process for becoming a CRA or CRM?
    Attaining the CRM designation is based on educational background, professional work experience and the passing of a six part examination (Parts 1-6). Attaining the CRA designation is based on educational background, professional work experience and the passing three part examination (Parts 2-4). Once an Applicant is approved as a Candidate, they may register for the examinations. Details about the examination process can be found on the Taking the Exams page.

    The examination is divided into the following Parts:
    1. Management Principles and the Records and Information (RIM) Program
    2. Records and Information: Creation and Use
    3. Records Systems, Storage and Retrieval
    4. Records Appraisal, Retention, Protection and Disposition
    5. Technology
    6. Case Studies (can only be taken once a Candidate passes Parts 1-5)

    Parts 1 to 5 each consist of 100 multiple choice questions. Part 6 consists of case studies which require essay responses.

    What must I do to remain a member in good standing? To remain a member of the ICRM in good standing, and thereby authorized to use the professional designation of “Certified Records Analyst”/”CRA” or “Certified Records Manager”/“CRM”, a person who is certified must meet the requirements set forth by the Board of Regents, including:

    How much does membership cost and what is the process for dues payments?
    When you attain your CRM certification you are required to become a member of the ICRM which includes paying an annual fee. Once a member, you receive your annual dues invoice in November each year which states: NOTES: This invoice in the amount of $200.00 is for your 2016 ICRM membership dues. The amount owed reflects the membership category in which we have you listed (CRM Active). Further explanation regarding membership categories can be found on the ICRM website: www.icrm.org. We must receive your payment no later than February 01, 2016 to maintain your membership in good standing. Payments after February 01, 2016 must include an additional $15.00 late fee.

    Additional communications are sent in December and January prior to late fees being assessed. If the ICRM has not received payment by February, an additional good faith effort is made to contact the member directly followed by a final notice sent by US mail in March which includes a $15 late fee. In compliance with our By-Laws it is only at this point that the ICRM Board of Regents have to act on processing the member for decertification in April.

    What types of volunteer opportunities exist for members of the ICRM?
    There are many opportunities of varying time commitments to volunteer and the ICRM welcomes your willingness to help sustain and improve the Institute. They range from serving as a:

    • Mentor for those preparing for the Part 6 examination
    • Member of Committees, Task Forces or special commissions of the Board
    • Member of the Board of Regents
