Struggling to define what constitutes a record? You're not alone. In today’s digital world, the lines between data, information, and records are increasingly blurred, raising the stakes for compliance and risk management. This presents significant challenges for RIM and IG professionals, particularly when dealing with personal information, interdependent data elements, and evolving cybersecurity risks.

Mine the Gaps: Uncovering What You Don’t Know About Your Retention Schedule
This presentation will explore how organizations can identify and address gaps in their records retention schedules by leveraging three essential tools: systems inventories, stakeholder inquiries, and legal research. It highlights practical strategies for discovering unknown information assets, engaging the people who create and manage records, and staying current with evolving legal and regulatory requirements. The session also covers best practices, common pitfalls, and ongoing maintenance techniques to ensure retention schedules remain accurate, defensible, and aligned with both business needs and compliance obligations.

Warren Bean – Vice President of Technology & Product Dev.

Warren Bean is the VP of Technology & Product Development at Zasio Enterprises, where he builds customer solutions for enterprise-level information management, guides the research and development of new products, provides technical input on consulting engagements, and assists with Zasio’s cybersecurity program.
Mr. Bean received a B.A. in Business Management, with a minor in Computer Science from Sonoma State University in Northern California and has worked in the software industry for 37 years – the past 25 of those at Zasio filling various roles, including: technical support, training, implementation, data migrations, support manager, customer relations manager, and sales engineer.

Warren has written numerous blogs on records management topics and is a frequent webinar host and speaker.

Rick Surber – Senior Consultant & Legal Research Manager

Rick is a Senior Consultant and Licensed Attorney at Zasio and co-manager of the Consulting Division. He also manages Zasio’s Legal Research Division. Rick has helped clients ease RIM and IG pain points for over 16 years, focusing on RIM program enhancement/development. This includes RIM policy and RRS development, simplification, maintenance, and compliance. It also includes strategizing about RIM’s role in Information Governance (IG), and how to build cohesion between other IG stakeholders like Legal, Privacy, IT, and Risk/Compliance. Rick is also passionate about contributing to the RIM and IG fields through volunteering, educational presentations, networking, and collaboration.
